Getting Started with Rally CRM

Set up your account and start closing deals in under 10 minutes.

1

Create Your Account

Head over to rallycrm.io/signup and create your free account. Every new account includes a 14-day free trial with full access to all features — no credit card required.

Choose a subdomain for your workspace (e.g., acme.rallycrm.io), enter your name, email, and password, and you're in.

Pro Tip

Pick a subdomain that matches your company name. It's how your team will access Rally every day, and it can't be changed later.

2

Import Your Data

Bring your existing data into Rally with a CSV upload. Navigate to Settings → Import Data and upload a CSV file containing your contacts, companies, or deals.

Supported Import Types

  • Contacts — names, emails, phone numbers, lifecycle stages, tags
  • Companies — company names, domains, industry, employee count
  • Deals — deal names, values, stages, expected close dates

During import, Rally will ask you to map your CSV columns to Rally fields. You can skip columns you don't need and create custom fields for any data that doesn't fit the default schema.

Prefer to automate? Use the Rally API to push data programmatically from your existing tools.

Pro Tip

Download the CSV template from the import page before preparing your file. It includes all supported columns with example data so you can map fields correctly on the first try.

3

Set Up Your Team

Invite your team members by navigating to Settings → Team and entering their email addresses. Each person will receive an invitation to join your workspace.

Team Roles

RolePermissions
AdminFull access to all settings, data, and team management
ManagerView and edit all records, manage team member assignments, run reports
MemberCreate and edit own records, view shared records

You can also configure record ownership so that contacts, deals, and activities are assigned to specific team members for accountability and pipeline visibility.

4

Configure Your Pipeline

Rally comes with a default sales pipeline that covers the most common B2B sales process. You can start using it immediately or customize it to match your workflow.

Default Pipeline Stages

StageProbability
Lead10%
Qualified25%
Proposal50%
Negotiation75%
Closed Won100%
Closed Lost0%

To customize, go to Settings → Pipelines. You can add, remove, or rename stages, adjust probability percentages for forecasting, and create multiple pipelines for different sales processes.

Pro Tip

Set probability percentages on each stage to power Rally's weighted pipeline forecasting. Your dashboard will automatically calculate expected revenue based on deal values and stage probabilities.

5

Connect Your Email

Rally integrates with Gmail and Outlook to automatically log emails, sync conversations, and track engagement. Navigate to Settings → Integrations and choose your email provider.

What You Get

  • Two-way sync — emails sent from Rally appear in your inbox and vice versa
  • Auto-logging — emails to and from contacts are automatically attached to their timeline
  • Email tracking — see when recipients open your emails and click links

For a detailed walkthrough, see the Email Integration guide.

6

Explore the Dashboard

Once your data is in and your team is set up, head to the Dashboard for a real-time overview of your sales operation.

Dashboard Highlights

  • Pipeline metrics — total deals, total value, and weighted value by stage
  • Recent activity — the latest emails, calls, meetings, and notes across your team
  • Revenue trends — monthly revenue chart showing closed-won deals over time
  • Conversion funnel — see how deals move through your pipeline from lead to close

Pro Tip

Bookmark the dashboard as your browser's homepage. It's the fastest way to get a pulse on your pipeline every morning.
