Workflow Builder

Rally's visual workflow builder lets you create automation rules using a drag-and-drop interface. Every workflow follows a simple pattern:

Action

Define what starts the workflow (trigger), optionally filter with conditions, then specify what Rally should do automatically (actions). Chain multiple actions together for complex automation.

Pro Tip

Start with one or two simple workflows before building complex chains. A single "send follow-up email after meeting" workflow can save your team hours every week.

Triggers

Triggers define what starts a workflow. Rally supports both event-based and time-based triggers:

Actions

Actions are what Rally does when a workflow is triggered. You can chain multiple actions in sequence:

Send email

Send a template email to the contact

Create task

Assign a follow-up task to a team member

Update field

Change a field value on the record

Move deal to stage

Advance or change a deal's pipeline stage

Assign owner

Assign or reassign the record owner

Send notification

Notify a team member via the in-app notification center

Add tag

Apply a tag to the contact or deal

Conditions

Conditions let you filter which records a workflow should act on. Add conditions between the trigger and actions to ensure workflows only fire for the right records.

Filter By

  • Field values (e.g., lead source equals "Inbound")
  • Deal amount (e.g., deal value greater than $10,000)
  • Lifecycle stage (e.g., contact is in "Qualified" stage)
  • Tags (e.g., contact has the "enterprise" tag)
  • Custom field values

Pro Tip

Always add a condition to narrow your workflow's scope. A workflow that fires for every new contact might flood your team with emails, but one filtered to "inbound leads from the website" is highly targeted and effective.

Email Sequences

Email sequences are multi-step automated email campaigns that nurture contacts over time. Each sequence consists of a series of emails with configurable delays between them.

Sequence Features

  • Configurable delays — set the number of days between each email in the sequence
  • Stop on reply — automatically stop the sequence when the contact replies to any email
  • Tracking — monitor open rates and click rates for each email in the sequence
  • Merge fields — personalize every email with contact and deal data

Example sequence: Day 1 — Introduction email. Day 3 — Value proposition follow-up. Day 7 — Case study with social proof. Day 14 — Final check-in with meeting link.
